Guidelines for Presentations at
EFFECTS OF NOISE ON AQUATIC LIFE
Please review the following material for the type of presentation you are giving at the meeting. Please note that Lightning Rounds include a poster and the short presentation should highlight the material, and take-home message, of the poster.
Platform Talks
- The length of talks is given in the program on the web. These times include time for questions. Thus, if you wish to receive questions we suggest that you allow five minutes within the time given you.
- All presentations must use PowerPoint and must run on a PC.
- Authors will not be able to present their talks directly from memory sticks (USB keys) or other devices.
- You must provide your presentation on a USB key or CD rom (preferably USB) on the day before the paper is to be presented. A person will be designated to receive the presentations and to try them out on the AV system before the paper is presented.
- It is not possible to use one’s own computer for presentations. Our electronic setup will NOT work for different computers. Exceptions are impossible!
- The format of the PPT must be either 2007 or 2010.
- MAC users should please make sure in advance that their PPT will work with a PC computer. [Please see information below on how to convert.]
- Please label your file name with the name of the presenting author and the first four words of your title (e.g., Weber – Ossicles of the ear).
- If you are using movies and/or audio, the files for those must be on the USB key and you must set up the PPT to look into the same directory as the PPT to access that additional information. Videos using unconventional codecs should be avoided.
- The room for presentations will be relatively long and we will have a VERY large screen to allow images to be seen easily from the back of the room. Thus, please set up your slides so that any text or images are crisp and clear and will look good from the back of the room. We suggest:
- Large font
- Images that make maximum use of the space on the slide rather than having a slide that has a small image surrounded by very large background.
- Have high contrast between the font and the background
- If you are not sure how to do the best PPT presentation, do a search on Google for “PowerPoint Presentations” and you will find numerous links that give excellent advice.
Posters
- All posters must be in PORTRAIT ORIENTATION. Failure to follow this requirement will mean that the poster will not fit on the allotted board.
- Poster BOARD dimensions = 0.97 m wide x 2.47 m high.
- Posters should be clear and easy to read. Type size should be sufficiently large to allow people to read from 2-3 metres. (Minimum of 1 cm high for text and 2.5 cm high for titles).
- Design the poster to convey a CLEAR MESSAGE. If the message is not clear at first glance the reader will move on to an alternative poster, which provides greater initial impact.
- Avoid overload – too much information seriously detracts from the overall impact. LESS IS MORE!
- The SIMPLE use of colour can enhance a presentation, but do not make the poster too complicated.
- Consider the use of a suitable photograph, but do not make it the background to the poster. Keep logos and credits to a minimum and discrete. Proof read the poster, and get others to do so as well.
Lightning Round Presentations
- See poster information for how to do your poster.
- Your talk should highlight the main points, and take-home message, of your poster.
- You have FOUR (4) minutes and not a moment longer.
- Presentations may NOT include movies or audio files unless embedded in the PPT.
- Please label your file name with the name of the presenting author and the first four words of your title (e.g., Weber – Ossicles of the ear).
- Maximum of FOUR (4) slides.
- There will possibly be time for a maximum of one (short) question after your talk, but only if you allow time for this within the 4 minutes. Keep in mind that since your posters will be up for most of the meeting, you can meet with people there for further discussion.
- Based in our experience in Cork and at the 2013 BOEM meeting, we make the following recommendations so that you will have the most effective Lightning presentation:
- DO NOT try and cram more than one slide’s worth of material into a single slide.
- DO NOT try and give all of the information from your poster.
- DO NOT try and cram a 20 minute talk into 4 minutes.
- DO NOT spend more than a few seconds (at most) on any but the most critical methods.
- DO NOT include acknowledgements, logos or affiliations on the slides.
- Consider using the first slide to set up the most important research question or hypothesis.
- Perhaps use two slides to present results, in a simple and direct manner (details can be on your poster).
- Perhaps use the fourth slide to present an overview of your major conclusions.
Considerations for Mac Users [From Acoustical Society of America instructions for authors]
- Pictures: If you use a version of PowerPoint prior to 2008, please be sure any embedded pictures are not TIFF format. These images will not show up in Windows PowerPoint. With PowerPoint 2008 for the Mac, this is no longer an issue, and any inserted image will be compatible.
- Movies: Quicktime Pro 7 can natively export MOV, DV, QT files as MP4 files with either H264 or MPEG4 compression, or as AVI with DV compression.
- To export to MP4 file format using either H264 or MPEG4 compression;
- Open up your .mov or .QT file in QuickTime Pro 7. Click "File" at the top, then click "Export".
- Click the down arrow of the "Export:" box right side and select "Movie to MPEG-4". Then click the "Options" button.
- Select "MP4" as the “File Format” in the "MPEG-4 Export Settings" dialog-box to choose the codec that you want to use for the compression.
- For the "Video Format" set it to "MPEG-4 Improved" or "H.264", and select the "Image Size" as "Current” and then set the "Data Rate" changes 1500 for SD videos or 5000 for HD videos.
- For the “Frame Rate” set it to “Current” and “Key Frame” to “Automatic”.
- Click “OK” to close the “"MPEG-4 Export Settings" dialog-box.
- Choose the folder you’d like to export the video to, set the file name, and finally click “Save” to begin the export process.
- Keynote Users: Keynote will not be accepted since it cannot be played back on PC. Please export your presentation as a PowerPoint.
